This policy applies to personal information collected through 360installsolution.ca, our online quote tools, the AI Estimator, contact and appointment forms, telephone, email, text messages and in-person service interactions.

It is designed to be consistent with British Columbia's Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws.

Depending on how you interact with us, we may collect the following categories of personal information:

• Name, telephone number and email address
• Property address, unit or suite number, city, province and postal code
• Property type and approximate home size
• Heating, cooling, plumbing, electrical and mechanical system information
• Existing equipment type, model, age and condition
• Information about ducts, vents, electrical panels, boilers, furnaces, heat pumps and water heaters
• Customer notes and project requirements
• Photos you upload (including electrical panel or sub-panel photos, equipment label photos, floor plans, drawings and outdoor installation-area photos)
• Quote requests and information you enter into the AI Estimator
• Appointment and consultation information
• Signed quotes, contracts, job records, invoices and payment records
• Communications between you and our team
• Website technical information such as browser type, IP address, device information, cookies, local storage values and error logs, where actually collected

Where online card payment options are offered, payment card information is processed by third-party payment providers (for example, Stripe) using their hosted payment pages. Card processing is subject to the applicable provider's terms and privacy practices; we do not receive or store full credit card numbers on our own servers.

We collect information when you:

Our AI Estimator helps you organize information and understand possible HVAC options. It may process the details you enter, including home characteristics, equipment descriptions and uploaded photos.

AI-generated responses are educational and preliminary. The AI does not issue final installation pricing and does not replace an on-site inspection, heat-loss calculation, code review or the judgment of a licensed professional. Final recommendations and pricing are reviewed or confirmed by a human member of the 360 Install Solution team.

Please do not enter unnecessary sensitive personal information into the AI tool.

By voluntarily submitting information for a quote or service, you consent to our use of that information for your request and related service communications.

We will not require your consent to unrelated purposes as a condition of providing a quote or service. Marketing consent is separate from service-related consent.

You may withdraw consent at any time, subject to legal, contractual and record-retention requirements. Withdrawing consent may limit our ability to provide certain services.

We disclose personal information only as reasonably necessary to:

• Employees, estimators, technicians, installers and authorized subcontractors involved in your project
• Technology, website hosting, database, email, communications, document-signing, payment and file-storage providers that support our business
• Accountants, insurers, legal advisers, regulators, permitting authorities and government rebate program administrators, where necessary
• Law enforcement or other authorities where legally required

We do not sell or rent personal information. Approved service providers may process information on our behalf under contractual and confidentiality obligations, and authorized project personnel may need access to complete your project.

Some of our service providers may store or process information outside British Columbia or Canada. Where that occurs, the information may be subject to the laws of the jurisdiction in which the provider operates, including lawful access by foreign authorities.

We retain personal information only as long as reasonably necessary for the original purpose it was collected, for customer service and warranty matters, and to meet contract, tax, accounting, insurance, permit, regulatory and legal requirements.

We use reasonable administrative, technical and physical safeguards to help protect personal information against loss, unauthorized access, use, disclosure, alteration and destruction. No method of electronic storage or transmission is entirely secure, and we cannot guarantee absolute security.

Subject to applicable law, you may request access to the personal information we hold about you, ask us to correct inaccurate information, withdraw consent where applicable, request information about the handling of your data or submit a privacy complaint. Our website uses a limited set of technologies:

• Browser local storage for your selected language preference
• Browser session storage for the AI Estimator wizard (so your in-progress answers are not lost during a visit)
• Browser storage used for partner referral attribution when you arrive via a partner link
• Authentication and session storage used for staff and partner sign-in (customer/homeowner accounts are not required to request a quote)
• Third-party review widget (Trustpilot) which is loaded only on pages that display customer reviews and may set its own cookies once loaded

We do not currently run first-party advertising pixels, Google Analytics or Meta Pixel. If we introduce non-essential analytics or advertising cookies in the future, we will update this policy and, where required, request your consent.

Our website links to third-party sites such as government rebate programs, licensing bodies, manufacturers, review platforms and social media. Those sites are governed by their own privacy policies and terms, and we are not responsible for their practices.

Our website and services are intended for adults arranging property-related services and are not directed to children. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above. Material changes will be communicated through the website.
